Dear Parents,
 
I am again astounded by the generosity, organization and selflessness displayed by the members of this team and it's parents.  This years invite was the biggest meet we have ever had attended by more than 35 teams and 550 athletes.  We packed the stands for finals and I think the atmosphere was almost better than CIF's have been at times.  Your hard work and enthusiasm really made Saturday a high point for many of the swimmers in San Diego and I wanted to take the time to say THANK YOU!  I had multiple coaches come up to me and comment on how well the meet was run and those were compliments to you and your hard work putting on this event.  The head official was Mike Salzstein and he is basically the CIF Swimming Head Man and he had nothing but good things to say about this meet and the way it was run and again that is a testament to you and your hard work.  From the JV swimmers running, posting and timing to my awesome team of computer workers and equipment managers to the snackbar workers to the people that coordinated it all or worked to get the entries from teams or get the programs finished and printed, it truly was an amazing effort.  I can't begin to Thank you enough and I know the kids both at Mt. Carmel and from the other schools really appreciate the effort.  Everyone that sacrificed any part of their time or donated anything, your effort made the difference. Thank You!

We always need help on every meet day with volunteer jobs and donated snack bar items.  Please help out frequently to make sure the meets run smoothly.   6. On the left side of the window, click ‘Your Info’.  Enter your full name, phone number (optional), uncheck ‘receive special offers’, check ‘set info for all activities’.
  7. Cute little clipboard icons are shown on the dates for which we need volunteers.  Click to open the clipboard.
  8. Click ‘Save & Close’ when finished with this initial clipboard. Enter as many clipboards as you like.

Set Up Jobs

-Meet and Timing Equipment Set Up - Put in the touchpads, run cables, set up tables, chairs etc...

-Snackbar Setup - Set up the snackbar area and get everything ready to sell and cook if necessary

-Computer Set Up - This is usually the person that is running the computer, but needs to be there to input any late changes as necessary

During the Meet Jobs

Timers - This is always a problem and if you can time for the meet that always helps.  It is the best seat to watch the meet.  All you do is operate a backup stop[watch and write down the time.  You also will need to hit a button when the swimmer in your lane finishes.  These are backups if the automatic timing fails and very essential.  We generally need 2-3 people behind every lane the entire meet meaning 16-24 volunteers per meet. You don't have to time the whole meet but any part helps.

Head Timer / Runner - This person operates extra stopwatches and makes sure all the timer seats are filled and finds replacements for those that have to leave.  They may also run the timer sheets to the computer and pass results to the opposing team.

Snackbar Workers - We need a parents to help with selling and cooking throughout the meet.  Don't worry, we usually have enough parents that you can leave and watch your athlete swim their races.  You are there to watch and we understand that.  Help out in between races if you can.  You can sign up on-line here.

Computer Workers - We have 2 computers that run during a meet.  If you want to learn and be trained o these just come see us at the meet pull up a chair and start learning.  It seems complicated but once you learn it is actually very user friendly and you don;t need to be a computer wizard to learn.

Scorers - We keep the official results manually and we need 4 scorers at most meets to record official times and keep the score. These are the results signed by the referee that make the meet official.

Post Meet Jobs

Clean Up - Obvioulsy we need to put everything away that we got out at both the computer and timing table as well as the snackbar. 

Invitational Only Jobs

There are some jobs specific to the invitationals as well such as DJ, Announcer, Awards, Finals Staging that need to be taken care of by parents.  The good news is that the JV or Varsity teams will be responsible for timing, results posting, and snackbar help during these meets.  JV will work the Varsity Invite while Varsity will work the JV Invite.

 

 

Invitational Sponsorship Forms to Download


Volunteers - The parents have always been so generous with time, effort, and food donations that we have not had to fundraise door to door in 6 years.  In addition to the booster club memeberships we raise money through our invitationals, selling of our invitational programs, ads and PDA and sponsorship in the program and most of all the snackbars.  We need all the help we can get at dual meets, invitationals, leagues and more.  Please help us run the team and hopefully we won't make it always the same people doing everything.  Every little bit helps.  Get Involved Today!

 

Support the Team through Direct Donations -

Obviously we do need parents that can afford it to be generous with their direct donations to the program. We have many ways to donate to the program.

Booster Club Membership - This will be in the registration packet and has many different levels of membership.

Coaching Stipend Request - We are asking for $40 per family in addition to the suit costs to help offset the additional coaches stipends we have to provide.  We are given 2 stipends by the district and we need 4 coaches to run a full program. If everyone gave $40 we will still not cover the full stipends, but it will offset the amount we have to pay from our fundraising enough to make it feasible.  I would hate to have to cut coaches as that directly effects the kids.

Selling "PDA" for the Program - This is like buying an advertisement except it is a good luck note for your athlete that is put in both the Varsity and JV Invitational Program.

Soliciting Advertisers and Business to Advertise in the Invitational Program - If you frequent or own a business, ask if they want to put an ad in our program. One ad will run in both invitational programs for a single price.

Sponsor an Invitational Event - Each event at the invitational can be sponsored by a family or business.  It will be announced along with the event at the meets as well as go in the program.

Food Donations - This is very important as the more food we have donated the less we have to spend and the more profit the team makes from the snackbar.  This can be anything from cases of soda to already prepared foods such as baked potatoes etc... You can sign up to bring needed items here.

Support the Team by joining a Committee

- Get involved by helping out with the planning of various aspects of the season.  Most committees have been established but all of the current volunteers will not turn down help.  Here are some of the committees that you can get involved with:

Finance, Uniforms, Registration, Banquet, Communication and Email, Invitational Coordinator, Volunteer Coordinator, Snackbar Coordinator, Invitational Programs, Pasta Dinners and more.
